Who we are: Kaleo Finance (“we”, “us”, “our”) is an authorised credit representative of Australian Financial Services Group Pty Ltd (ACL 123456). We provide mortgage broking and related credit assistance services to clients across Sydney and surrounding metropolitan areas. You can contact us at karen@kaleofinance.com.au.

This Privacy Policy explains how we handle your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It also outlines your rights and how to contact us or make a complaint.

1) What this policy covers

  • Individuals who engage with our services, website, forms, calculators, email, phone, and social channels.
  • Personal, sensitive, and credit-related information we collect to assess suitability for credit assistance and to provide our services.

Our website provides general information only and does not constitute personal financial advice. Your circumstances are unique; please seek personalised advice before making financial decisions.

2) The information we collect

We may collect:

Identity & contact: name, date of birth, driver’s licence/passport details, address history, phone, email.
Financial & credit: income, expenses, liabilities, assets, employment, bank statements, credit history, credit reports/scores, repayment conduct.
Transaction & service data: application details, loan preferences, lender communications, file notes, meeting records.
Supporting documentation: payslips, tax returns, BAS, Centrelink information, superannuation, property and conveyancing details, insurance information.
Sensitive information (limited): only where necessary and with your consent (e.g., health or hardship information that may be relevant to credit assistance or insurance).
Website/analytics: cookies, IP address, device and browser data, pages viewed, referring/exit pages, and conversion information (see Section 10).

3) How we collect information

  • Directly from you via meetings, calls, emails, online forms and document uploads.
  • From third parties you authorise, including your employer, accountant, conveyancer/solicitor, real estate agent, or existing lender.
  • From credit reporting bodies (CRBs) with your consent.
  • From public sources where appropriate (e.g., property records).
  • Through our website and digital services (cookies/analytics).

You may choose not to provide information; however, this may limit our ability to provide services or meet our legal obligations.

4) Why we collect and use your information

We use your information to:

  • assess your needs and objectives and provide mortgage and credit assistance;
  • verify identity, mitigate fraud, and meet responsible lending and anti-money laundering/CTF obligations;
  • obtain and compare credit products, liaise with lenders and service providers, and manage applications;
  • provide quotes, recommendations, and ongoing client care;
  • conduct business operations (training, quality assurance, compliance, record keeping, insurance, and audits);
  • send service updates and direct marketing (you can opt out anytime—see Section 11).

We process personal information on the basis of consent, contract, legitimate interests (where consistent with the APPs), and legal obligations.

5) Disclosure to third parties

We may disclose your information to:

  • Australian Financial Services Group Pty Ltd (ACL 123456) as our aggregator/licensee for compliance, technology, and support;
  • lenders and funders you apply to or may be eligible for;
  • credit reporting bodies (CRBs) (e.g., Equifax, illion, Experian) and verification services;
  • professional advisers (accountants, lawyers), insurers, valuers, property and settlement service providers;
  • IT, cloud, data storage, e-signature, and CRM providers supporting our systems;
  • auditors, industry bodies, government agencies and regulators (e.g., OAIC, ASIC) where required by law;
  • any party you authorise, or as otherwise permitted or required by the Privacy Act.

We do not sell your personal information.

6) Credit information & CRBs

With your consent, we may:

  • obtain your credit report from CRBs to assess your application;
  • disclose to CRBs that you have applied for credit assistance;
  • exchange information with lenders about your credit status and repayment history.

Your rights in relation to CRBs include requesting access to your credit information, asking a CRB not to use your information for direct marketing pre-screening, and placing a ban if you believe you are a victim of fraud. Contact us (Section 13) for details or to exercise these rights.

7) Overseas disclosures

Some service providers (e.g., cloud or helpdesk platforms) may store information in data centres outside Australia. Where this occurs, we take reasonable steps to ensure overseas recipients handle your information in a manner consistent with the APPs (e.g., contractual safeguards and vendor due diligence).

8) Data security

We maintain comprehensive security protocols to protect your information against loss, misuse, unauthorised access, modification or disclosure, including:

  • access controls, encryption in transit and at rest (where supported), secure file transfer;
  • network and system monitoring, MFA, audit logging, and staff training;
  • vetted third-party providers and contractual safeguards.

If an eligible data breach occurs, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme.

9) Data retention

We keep records for as long as required to deliver services, comply with legal and regulatory obligations (including responsible lending and audit requirements), resolve disputes, and enforce agreements. When information is no longer required, we take reasonable steps to de-identify or securely destroy it.

10) Cookies, analytics & tracking

Our website may use cookies and similar technologies to operate the site, remember preferences, and analyse usage. Analytics tools help us understand traffic patterns and improve services. You can control cookies via your browser settings; blocking some cookies may affect site functionality.

11) Direct marketing

We may send you updates about interest rates, products, market changes, and service announcements. You can opt out at any time by using the unsubscribe link in our emails or by contacting us (Section 13). We do not provide your details to third parties for their marketing without your consent.

12) Accessing and correcting your information

You may request access to, or correction of, your personal information we hold. We will respond within a reasonable time and may ask you to verify your identity. In limited circumstances we may refuse access (for example, where disclosure would unreasonably impact the privacy of others or is unlawful), and we will explain the reasons in writing.
